Terms & Conditions

1. Confirmation
Your booking will be confirmed after we receive your booking form and the appropriate deposit. Please note that payment of the deposit is regarded as your acceptance of the booking conditions and is non-refundable.

2. Cancellation
If you wish to cancel the booking you must notify us immediately in writing or by email. Until written confirmation is received we will continue to hold your reservation. All cancellations will be acknowledged.

Cancellations incur the following charges:

  • More than 56 days before camp starts: loss of deposit only
  • 56 - 29 days: 30% of the total camp price
  • 28 - 15 days: 45% of the total camp price
  • 14 - 1 day: 100% of the total camp price
  • On or after the camp starts: 100% of the total camp price

We reserve the right to cancel a booking due to low numbers. We will inform you at the earliest opportunity (in writing, if time permits) and will offer an alternative camp date or give a full refund. We will not pay any compensation or be liable for any expenses that you may have personally incurred, such as travel expenses. We do not accept responsibility for events which are outside of our direct control. These include (but not exclusively) force majeure events such as strikes, bad weather, war, etc. and any injury, loss or damage that may occur.

3. Booking
Responsibility for the details of bookings and for payments lies with the person making the initial booking.

4. Payment
All accounts must be fully paid before we can accept a child at camp. All balance payments are due 6 weeks before the start date of the camp unless otherwise stated.

5. Administration Charge
Please note we reserve the right to levy an administration charge of £15 in respect of any changes made to booking details after the initial booking has been confirmed.

6. Reservation Charge (Overseas)
Bookings made from outside the United Kingdom will incur a £30 reservation fee to cover additional administration and postage charges.

7. Personal Property
All your child's personal property is your own responsibility, unless loss or damage is proven to be due to our negligence. If anything is missing when your son or daughter leaves camp, please let the Camp Director know about it immediately as there may still be time to find it. Expensive and treasured items such as jewellery, CD players, ipods, personal video games, mobile phones, designer clothes, shoes or trainers, etc., should not be brought to camp as they are often unnecessary and inappropriate on a running camp.

8. Swimming Ability
All children on a camp who want to take part in swimming or involving any activity on water must be able to swim 50 metres.

9. Offsite Activities
Very occasionally we may include off-site activities such as visiting a local track. All our usual standards of care and supervision apply. All children may participate in off-site events unless we specifically receive written notification to the contrary from parents or guardians.

10. Incompatibility
We reserve the right to exclude or refuse any person at any time, prior to and during a camp if, in our opinion, that person is incompatible with the general well-being of the camp. Any additional costs incurred by the camp, including transportation home, will be at the parents’ expense, and no refund of the holiday cost will be made.

11. Programme Changes
The timetables for certain activities are subject to alteration in the event of wet weather conditions or other factors which are beyond our control.

12. Medical information
All of our camps have a number of qualified First Aid specialists on site 24-hours a day. All medication that children bring with them is stored in a secure area and must be recorded on the medical form with clearly labelled instructions, and be highlighted to a member of staff at the time of registration. A qualified First Aider or Pastoral Care Leader will dispense medications as determined by the individual’s needs.

In the event of an emergency, we have 24-hour access to local doctors and are registered with all local hospitals. If a child is taken to see a Doctor or hospital for any reason parents/guardians are notified as soon as possible.

Prior to camp every parent is required to return a completed medical form for each child and all information supplied will be kept completely confidential (please don't be embarrassed to discuss any problems such as bed wetting, shyness, etc). We feel we can deal with almost anything as long as we are forewarned.

Every situation is treated with great sensitivity in ensuring that a child never feels embarrassed. Sometimes family situations may affect the behaviour of a child at a camp. Please inform us of any changes i.e. new baby, family bereavement, or anything you feel may affect your child's well being at camp. We naturally treat any personal information with sensitivity and complete confidentiality.

13. Disclaimers
We cannot be held responsible for any loss or damage to personal items nor for any personal accident or injury. You are strongly advised to take out personal insurance against cancellation charges or other loss or injury.

The Young Athlete Training Camp will involve some extended physical effort and outdoor activity. We strongly recommend you have a clean bill of health and are not suffering from illness or injury. If in any doubt, you should seek advice from your doctor.
